Recently developed our MyVillaOnline Website allows villa owners to market and manage their property on-line using a unique calendar and booking system. The Home Page has been designed to be attractive and user-friendly with slide shows that portray the property and local area, along with an interactive calendar that conveys information on availability and price.

The Home Page calendar is dynamic and fully updatable. The dark green navigation buttons, at the head of the calendar, allow you to move swiftly to locate months of interest. The calendar automatically displays the current month, i.e. once the current date reaches February 2005, for example, the January 2005 calendar page disappears and February 2005 becomes the first calendar page on display. The information displayed on the calendar pages is updated via the Content Management System , which is explained later. For each calendar month the availability and price bands can be updated.

The easy to use booking form is validated to force correct data entry. There are a number of required fields that must be completed. Once the form is submitted the content is sent directly by email to the villa owner or managing agent. In addition a database booking record is created, which is subsequently used to monitor the progress of the booking.

 
 


The villa owner or managing agent logs in to a private area of the website, called the Content Management System ( CMS for short ). A unique username and password is required to successfully log-in.

 
 
Once logged in, the CMS Control Center displays a number of menus which list links to various administration forms that maintain the site's content and provide a comprehensive system for maintaining bookings, pricing and availability. Selecting Calendar | EDIT Month will load a private page that lists all the months on display in the Home Page calendar.

 
 
Once a year, or as often as you like, it will be necessary to create new calendar months. This is a straightforward matter which can be done quite easily, but which is not demonstrated here. Calendar months that have been created are available to view in a reverse date ordered list. Clicking the underlined month field displays a form that allows you to update the availabilty and if necessary the price bands and dates for that month.

 
 
Once the selected Month Update Form is loaded (see below) booked dates can quickly be updated by selecting the appropriate option from the drop down status field. Clicking the update button at the foot of the form will immediately update the calendar on the Home Page to display the new dates booked.

 
 
In addition to the calendar system, described above, there is an easy to use system for booking administration. Selecting Administration from the Booking Menu brings up a web page that displays a list of bookings. The date booked, name, number of adults and number of children, arrival date and departure date are displayed in the first 6 columns. The next 7 columns display tick boxes which confirm, at a glance, deposit request for payment sent; deposit payment received; request for balance sent; balance payment received; holiday information sent (the website has a login section for clients that displays this information); questionnaire on return sent; questionnaire received back. By manually posting all bookings, i.e. posting of bookings that originate from outside the website, you have at your disposal a very effective adminstration system.

Clicking the underlined name field will load a detailed booking form with additional administration fields.

 
 
When a detailed booking form is loaded any mistakes in the initial booking details can be corrected and progress with bookings can be updated by use of 7 simple tick boxes. A log field is useful for recording general comments and the testimonial field can be used to record feedback from visitors.

 
 
In addition to using the website for marketing we can design posters such as the one shown below, which can be printed out and circulated. Furthermore, the poster file can be converted to a PDF which can then be distributed by email attachment. The PDF file can also be uploaded to the web server where a link can be created for it to be made available to be download from within the website itself.

 
 
EMAIL
Every MyVillaOnline website is assigned a relevant web address ( e.g. www.myvillaonline.org/florida/smith) and email address ( e.g. smiths@myvillaonline.org ). The email address is set-up on our iMail Sever. This means you can log in to view, reply and send email from anywhere in the World as your iMail Account is web based (see the screen shot below). Details on how to configure Outlook Express or Outlook on your home/office PC to retrieve your emails directly and to use the iMail Server for outgoing email are contained in the User Guide.
